ClientSpacePEOtm is an integrated CRM and workflow management system that has been developed specifically for the PEO / Employee Leasing industry.  ClientSpacePEO goes far beyond customary sales contact management and client service functionality included with competing software packages. 

 

 

ClientSpacePEO delivers an integrated, web-enabled solution with modules to service the following core functions critical to all PEOs:

 

ª  Sales force automation: web-enabled sales prospect and account management.

ª  RFP submission and pricing: RFPs, submitted by internal sales professionals and brokers, automatically draw from comp code master rate tables, SUI rate tables, and admin fees thresholds.  Data is passed through standard data validation procedures to insure completeness and adherence to risk guidelines.

ª  Underwriting and risk analysis: risk and credit information are captured and organized in the virtual RFP folder.  Management personnel are notified and tasked with analysis and approval (or decline) of the RFP.  Appropriate pricing and discounts are established to reflect the associated risk and expected cost of co-employment relationship.

ª  Client setup / enrollment: a formal quote and contract is generated by ClientSpace and accepted by the client.  Workflow associated with client setup (enrollment) is triggered and tracked through first payroll to insure critical tasks do not fall through the cracks.  Data may be automatically transmitted to the payroll and billing system(s) to automate the setup of the client in core processing systems.  State and carrier correspondence for client starts and terms are automatically produced and transmitted to the client administrator.

ª  Client service: client service issues tracked and escalated based on the nature and importance of the issue.  Integrated task generation for repetitive cases with automatic notification of assigned personnel based on the specific client processing team. 

ª  Annual pricing reviews: pricing reviews and updates by state and code are completed and approved within ClientSpacePEO and may be transmitted to Payroll & Billing systems.  Required client, broker, and carrier notifications are automatically generated and emailed to client administrator.

ª  Risk / Worker’s Compensation claim management: first report of injury is captured in ClientSpacePEO data forms.  Client, carrier, and employee notifications are automatically generated and emailed to the risk administrator.  OSHA reports, 13 week wage statement, and other required reports are generated on demand.

Certificates of Insurance are tracked and generated within ClientSpacePEO data forms.  Annual policy renewals will generate certificates for all COIs that are outstanding at time of renewal.

ª  Integration with Payroll & Billing systems: ClientSpace is typically integrated with payroll and billing software already employed within the PEO, to offer ongoing end-to-end workflow automation.  Client, location, employee, and pricing data will be transmitted to/from ClientSpacePEO and other payroll & billing systems to drive ongoing pricing and client service.
